Profile the damage before touching a record

How the deduplication actually runs
HubSpot's native duplicate manager catches exact matches. It misses the ones that cost you: Acme Corp vs Acme Corporation, two contacts on the same domain with different capitalization, a record created by a form fill that already existed from an import.
Companies first, then contacts
Contacts inherit the surviving company record, so merging companies first avoids re-associating the same contact twice.
Merge rules you set, not defaults
Newest activity wins for engagement fields; oldest record wins for source and original-attribution fields. You approve the rules in writing before anything merges.
Fuzzy matching with a review queue
Anything above the confidence threshold merges automatically. Anything below it lands in a review list rather than being guessed at.
Standardize the fields that break segments
One canonical format per field — phone, state, country, industry, job title — applied across every record. This is the step that makes list-building predictable, because a segment on "NJ" stops missing the rows that say "New Jersey".
Keep it clean after we leave
A one-time cleanup decays in months. The same logic runs on record creation, so new contacts get normalized and dedupe-checked on the way in. Zombie records — no activity, no owner, no open deal in 12+ months — route to an archive list instead of quietly inflating your contact tier.
